Terms and Conditions

The tours on our website are operated by a certified guide interpreter. Tokyo trotter is not a travel agency and our tour services are provided directly by the tour guide. Please read this page carefully. You must agree to our conditions before participating in any tour.

1. Making a reservation
To make a reservation, you must complete our reservation form or send an e-mail. Subject to availability, we will confirm your participation by sending a confirmation and invoice via email. Once we have received your payment, we will send you a final confirmation via email. 

2. Payment
In order to confirm your participation, a payment must be made within 3 days of the sending of a confirmation and invoice. If we do not receive all payments due in full, we reserve the right to treat your reservation as cancelled by you. All payments must be taken in Japanese Yen. Payment must be made by PayPal or bank transfer.  

(1) Payment by PayPal
1. We will send an invoice mail through PayPal.
2. Log in with your account and password to the PayPal webiste.
3. Please make payment with your credit or debit card.
* If you don't have PayPal account, you can pay as a PayPal guest.

(2)Payment by Bank Transfer
The fare should be paid to the following bank account.

3. Tour cancellation - when we cancel your tour
Our tours will only operate where the group reaches a minimum number. We reserve the right to cancel the tour for any reason. Cancellations will not normally be made within 10 days of the tour date unless a situation arises which is beyond our control such as a natural disaster, adverse weather conditions, civil/political unrest and/or war, terrorism, industrial action, changes to scheduled transport services, sickness of the tour guide. If we cancel your tour we will refund all money you have paid to us but we will not be liable to compensate you for any inconvenience or incidental expenses you might have incurred.

4. Tour cancellation - when you cancel your tour
If you wish to cancel your reservation, the cancellation will only be effective from the date that we receive written notification by email or fax of the cancellation. Irrespective of the reason, the following cancellation charges will be levied:

  • If cancelled on the day of the tour: 100 % of the tour cost
  • If cancelled the day before or two days prior: 80 % of the tour cost
  • If cancelled three to seven days prior: 30 % of the tour cost

5. Insurance
The tour price does not include insurance. You must have travel insurance. This travel insurance must cover personal accident, medical expenses and repatriation expenses (including helicopter rescue and air ambulance), and cancellation. We strongly recommend that the cover also includes loss of personal belongings and all other expenses which might arise as a result of loss, damage, injury, delay or inconvenience occurring to you. Any claims concerning matters for which you are insured must be directed to your insurers.

6. Your responsibilities
Reservations are accepted on the understanding that all persons traveling are normally in good health and able to fulfill the physical demands of the chosen tour, and that clients appreciate the risks associated with tours and that they undertake the tour at their own risk. Please do not take risks while on tour. In the interests of safety, you must follow the guidance provided by anybody on our behalf; comply with any local codes of conduct, and act sensibly and prudently at all times. 

7. Your contract
A binding contract between us comes into existence when we dispatch a confirmation and invoice to the participant. Japanese law will apply to this contract and to any dispute, claim or other matter of any description which arises between us.
